Privacy Policy

1. Who we are

Gentyll Technologies Limited is a company registered in Ghana. We build and operate Gentyll, a school transport safety platform. Our contact is hello@gentyll.com. We are registered with the Data Protection Commission of Ghana as a data controller.

2. Who this policy applies to

This policy applies to parents and guardians who use the Gentyll parent app or receive Gentyll SMS alerts, to school administrators who use the school dashboard, to drivers and bus attendants who use the driver app, and to any school that has signed an agreement with Gentyll.

3. What information we collect and why

  • Parent or guardian phone number. To send boarding alerts and SMS messages. Never shared with other parents or drivers.
  • Child's name and class. To identify the child on the boarding roster. Seen by school admin and the assigned driver only.
  • Child's assigned bus and stop. To route alerts to the right parents. Seen by school admin and assigned driver only.
  • Boarding events, time, location, bus ID. To send the parent their boarding alert and to create the school's trip record. Seen by that child's parent and the school admin only.
  • Bus GPS location during a trip. To show the parent the live map and power the school dashboard. Visible to enrolled parents on that bus during the trip only. Deleted after 90 days.
  • Driver phone number. To enable the Call the driver feature. Seen by parents on that driver's bus only.
  • Device identifiers for push notifications. To deliver alerts to the correct device. Used by our notification system only.

4. What we do not collect

We do not collect or store any photograph of any child. We do not collect children's dates of birth, Ghana Card numbers or any government identification. We do not place any tracking device on any child. We do not monitor children outside of school transport trips. We do not collect financial information in phase one.

5. How long we keep information

Boarding records and GPS trip history are kept for ninety days then deleted automatically. Parent and child account information is kept for the duration of the school's contract and for thirty days after it ends. A school can request a full data export at any time before deletion.

6. Third parties

We share parent phone numbers with our SMS gateway provider solely to deliver alert messages. We use Firebase, a Google product, for app infrastructure and crash reporting. We do not sell data to advertisers. We do not share data with any third party for any purpose other than delivering the service.

7. Children's data

We collect the minimum information needed. All children's data is added by the school with written parental consent. Parents may request their child's data be removed by contacting the school admin. Gentyll will process the deletion within 48 hours.

8. Your rights under the Data Protection Act 2012

You have the right to see what data we hold, to correct wrong information, to request deletion, and to make a complaint to the Data Protection Commission at dataprotection.org.gh. Contact us at hello@gentyll.com or WhatsApp 0542011533.

9. Security

All data travels over encrypted connections. All data at rest is encrypted by our cloud provider. Access is controlled by phone number OTP authentication. No driver can see data from any bus other than their own. No parent can see data about any child other than their own.

10. Changes

Material changes will be notified by SMS or push notification at least fourteen days before they take effect. The current version is always at gentyll.com/legal.

Terms of Service

1. What Gentyll is

Gentyll is a visibility and record-keeping platform for school transport. Gentyll shows parents where the school bus is, records when children board and alight, and sends alerts. Gentyll does not operate buses, employ drivers, manage routes, or control any vehicle. The school remains fully responsible for its transport service and the safety of its pupils at all times.

2. Who can use Gentyll

Parents may use Gentyll only in relation to children for whom they have legal responsibility. Schools may use Gentyll only after signing a pilot or service agreement with Gentyll Technologies Limited. Drivers may use the driver app only as assigned by a school with a valid agreement.

3. What Gentyll promises

  • We will provide the service with reasonable care and skill.
  • We will give at least 24 hours notice of planned maintenance where possible.
  • We will respond to support messages within one working day.

4. What Gentyll does not promise

  • We do not promise the service will be available at all times. Mobile networks in Ghana experience downtime.
  • We do not promise every alert will be delivered within a specific time in poor network conditions.
  • We do not promise GPS accuracy to less than five metres in all locations.
  • We do not promise the service replaces any school's own safety measures.

5. Acceptable use

Users must not attempt to access data belonging to other schools, other parents or other children. Schools must not add children without written parental consent. Drivers must not use the app in a way that is unsafe. Misuse of the SOS feature for non-emergency purposes may result in removal from the platform.

6. Limitation of liability

Gentyll is a technology platform that provides information. We are not liable for any accident, injury or harm that occurs during school transport. Our total liability to any user is limited to the fees paid by that user to Gentyll in the three months before any claim. During a free pilot, this limit is zero cedis.

7. Termination

Either party may end the service relationship with fourteen days written notice. Gentyll may suspend access immediately if any user breaches these terms or the Data Protection Act 2012.

8. Governing law

These terms are governed by the laws of Ghana. Any dispute will be resolved in the courts of Ghana.

Driver App Acceptable Use Policy

EFFECTIVE DATE: JULY 2026

1. Purpose

This policy applies to every driver and bus attendant who uses the Gentyll driver app. By using the app, you agree to these rules. The school that assigned you to the platform is responsible for making sure you have read and understood this document.

2. Safe operation

You must never use the Gentyll driver app while the vehicle is in motion and you are the person responsible for driving. All boarding taps, route starts, and route ends must be completed while the vehicle is stationary. If a co-attendant is present, they should operate the app while you drive.

3. Boarding and alighting records

You must tap every child's card when they board and again when they alight. You must complete the empty bus check at the end of every trip without exception. Deliberately skipping or falsifying a boarding record is grounds for removal from the platform and may be reported to the school.

4. The SOS button

The SOS button must only be used in a genuine emergency. Pressing it sends your exact location to the school office and triggers an urgent response. Using it as a test, a joke, or for any non-emergency purpose will result in immediate removal from the platform.

5. Your device

The Gentyll driver app runs on the device assigned to your bus by the school. Do not share your login with any other person. Do not install the app on a personal device without the school's permission. Ensure the device is charged before each trip. A backup device is provided by the school for emergencies.

6. Parent data

You will see children's names and stop locations through the app. This information is provided solely to help you complete the trip safely. You must not share, copy, screenshot or use any parent or child information outside of your duties on the bus.

7. Reporting problems

If the app stops working, stops syncing, or shows anything unexpected during a trip, complete the trip safely first. Then report the problem to the school admin and to Gentyll at hello@gentyll.com or WhatsApp 0542011533 after the trip ends.

Pilot Agreement

This is a summary of Gentyll's pilot agreement. The full signed document is provided to schools separately. To request a copy for your school, contact hello@gentyll.com.

What Gentyll provides during the pilot term, at no cost

  • Full platform setup including buses, routes, stops and children before the first day.
  • Printed and laminated QR boarding cards for every child enrolled.
  • A one-hour driver and attendant training session at the school.
  • Parent onboarding support at the school gate during the first week of term.
  • Fortnightly visits during the pilot and a full summary report at the end.

What the school agrees to

  • Provide a complete and accurate child list with parent phone numbers before setup.
  • Collect written parental consent before any child is added to the system.
  • Make drivers available for the training session.
  • Inform all transport parents that Gentyll will be operating during the pilot.

After the pilot

The pilot is completely free with no obligation to continue. If the school wishes to continue, both parties agree a fee in writing before the next term. If not, all data is deleted within fourteen days of the pilot's end.

Liability

Gentyll is a technology tool. The school remains fully responsible for its transport service and the safety of its pupils at all times. Gentyll's liability during a free pilot is zero cedis.

WhatsApp is our primary support channel and the fastest way to get help: 0542011533. For non-urgent questions and formal requests, email hello@gentyll.com. Support hours are Monday to Friday, 5:30am to 6:30pm, covering the school transport window.

Response targets

  • Emergency, SOS or child not accounted for: we aim to respond within 5 minutes during support hours.
  • App not working during an active trip: we aim to respond within 15 minutes during support hours.
  • General questions and account changes: we aim to respond within one working day.
  • Billing and formal requests: we aim to respond within two working days.

What support covers

  • App troubleshooting for drivers, parents and school admins.
  • Adding or removing children, buses, routes and drivers.
  • Re-printing or replacing lost QR cards.
  • Helping parents install the app or register for SMS alerts.
  • Explaining trip records and reports to school admins.

What support does not cover

Gentyll support does not cover physical vehicle issues, driver disputes, parent complaints about transport service quality, or anything outside the Gentyll platform. Those matters remain the responsibility of the school.
